Tour prices are based on exchange rates, airfares and
tariffs in effect as of July 1, 2004 and are subject to
change due to inflation, fuel surcharges or currency
fluctuations. Participants meeting price guarantee
deadlines are protected against price increases except
for the aforementioned reasons or other considerations
of force majeure.

Airline Tickets and Flight Details
Airline tickets will be sent only after full payment
from all participants has been received. Tickets and
travel documents will be sent directly to the group
leader, two weeks before departure. The European
Institute primarily engages regularly scheduled flights
with all major airline carriers. The European Institute
is not responsible for missed flights, services, or
additional expenses resulting from flight schedules or
the late arrival of aircraft, for any reason whatsoever.
Nor are they responsible for delays due to invalid or
incorrect visa/passport requirements for international
travel. No changes can be made within 65 days of travel.
All changes made before this time period will be subject
to a $150.00 penalty fee.
Each individual is allowed one
suitcase, not exceeding 44lbs and one small carry on
bag. Tour buses cannot take baggage in excess of this
allowance. Excess baggage will be either left behind or
sent on at passengers’ own expense. The carry-on limit
varies with each carrier and should be verified with the
air carrier by the group leader before departure. The
European Institute is not responsible for lost or
damaged luggage, as this is the liability incurred in
the contract between the air carrier and the individual
passenger. The airlines’ responsibility for lost baggage
is limited to $9.07 per pound up to a maximum of
$400.00. The European Institute cannot be responsible
for forwarding lost, stolen or forgotten items.
Those individuals not departing from
the same gateway as the main group will be subject to an
extra charge of $125.00 U.S. dollars and will be
required to make their own way to the hotel if their
flight arrival does not correspond with that of the main
group’s arrival.
Those individual participants who
chose to make their own air arrangements may register
with The European Institute as "Land Only Travelers"
(LOT) and may deduct $300.00 U.S. dollars from the New
York City program fee in the relevant time period. If
this option is to be utilized, it must be received in
writing no less than 90 days prior to the scheduled
departure date. Any utilization of this option after
this time will be subject to a $125.00 fee, and in any
case no change can be made within 65 days of departure.
There is a $125.00 U.S. dollar
extension fee in addition to any airline charges
incurred for selecting this alternative. The European
Institute requires a hand written parental permission
letter for all minors, as well as full flight details
for all individuals selecting this alternative. Neither
The European Institute nor the group leader is
responsible for any participant when the participant is
not traveling as part of the main group. All
transportation costs incurred to and from the airport by
participant not traveling with the main group are at the
expense of the individual.

The European
Institute does not guarantee non-stop airline service.
The fee for changing the passport name of registered
participants is $125.00 and is only possible within 65
days of departure. The contract of each tour program
begins with the departure of the international flight
from the U.S./Canada and ends upon completion of the
return flight to the U.S/Canada (with the exception of
land only travelers (LOT) in which case tour contract
begins at the first hotel and ends on the date of main
group’s departure from the last hotel).
The European Institute, its
affiliates, investors, directors, officers, employees,
teachers, host schools or organizations, tour directors,
along with any foreign suppliers cannot be held
responsible for any injury, loss, damage, accident,
delay, or additional expense incurred resulting from
events beyond its control, including, without
limitation, acts of God, war, strikes, incidents of
politically motivated violence, sickness or quarantine,
government restrictions or regulations, and in the
absence of its own gross negligence, arising from the
use of any vehicle or from the use of The European
Institute’s selection of, or from any act or omission by
any bus or car rental agency, steamship, airline,
railroad, taxi or tour service, hotel, restaurant, or
other firm, agency, company, or individual.

Application Deadlines
The European Institute reserves the right to select
participants at its discretion. Applications are
processed only when the application form has been
returned, completed and signed, and the required
payment, based on the payment schedule agreed upon, has
been made. If for any reason an application is refused
by The European Institute a full refund will be made
within 45 days of receipt of application. Additional
applications are no longer accepted within 65 days of
departure. In the rare event that the application is
processed, payment for the program as well as late fees
must be by cashier’s check or money order and the
applicant is also subject to any air surcharges imposed
by the air carrier. In the event that applicants are
placed on a waiting list they will receive notification
of their status within 45 days of registration.

Custom
Itineraries
In the event that a group leader has designed a custom
itinerary and fails to recruit the set number of
participants upon which the tour program is priced, The
European Institute reserves the right to impose a small
group supplement charge. The group leader will then have
the option of running the tour with the small group
supplement charge or being transferred to a catalogue
program that will be advised by The European Institute.

Adult Supplement
The European Institute’s fees are based on triple and
quad accommodation and take advantage of student
discounts. Adults of 24 years and older (on the final
day of the program) pay a supplement of $60.00 plus
$25.00 per night to cover the cost of a double room and
entrances and other adult tariff adjustments. Adults
with no double room partner will pay the single room
supplement of $40.00 per night. In the unlikely event of
a double room not being available, there will be a
refund of $25.00 per night ($40.00 for those adults who
paid the single room supplement.) The supplement for a
double room on a cruise is $60.00 per night. Single
rooms are not available on cruises.
Alterations and Changes
The European Institute reserves the right to make any
alterations in itineraries, travel arrangements,
airlines, hotels, or other arrangements it deems made
necessary by factors beyond its control. In regards to
scheduled events within the itinerary, alternatives may
be substituted at the discretion of The European
Institute due to national holidays, closing times,
strikes, or any other unforeseen circumstances that may
arise. The European Institute may also cancel any tour
program due to operational problems, lack of
availability, inadequate enrollment numbers, or any
additional reason. If a trip is cancelled by The
European Institute, a full refund will be made within 45
days. This is the sole liability of The European
Institute.
